Privacy Policy

Your privacy matters to us. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the rights you have. It applies to information you give us through this website and through the consultant-client relationship.

1. Who we are

Sitlan Immigration Consulting is the practice of Sithandweyinkosi Nxumalo, RCIC-IRB #R731453, a Regulated Canadian Immigration Consultant authorized by the College of Immigration and Citizenship Consultants (CICC). The practice is based in Edmonton, Alberta, Canada.

2. The information we collect

We only collect personal information that we need to respond to your inquiries and, if you become a client, to prepare and represent your immigration file. This may include:

  • Contact information: name, email address, phone number, country of residence.
  • Inquiry information: the service you are interested in and the message you send us through the contact form or by email.
  • Immigration information (clients only): personal background, family details, travel history, education, employment, supporting documents, and any other information needed to assess and prepare your file.
  • Identification documents (clients only): passports, IRCC notices, civil status documents, and other documents required by IRCC, CICC, the IRB, or applicable law.
  • Technical information: when you visit this website, our hosting provider may automatically log basic information such as IP address, browser type, and pages visited. This is used to keep the site secure and working properly.

3. How we use your information

We use your personal information only for the following purposes:

  • To respond to your message and arrange a consultation.
  • To assess your eligibility and provide immigration advice.
  • To prepare, submit, and follow up on applications with IRCC, the CBSA, the IRB, and other relevant bodies, where you have retained us to do so.
  • To communicate with you about your file, our services, and any changes that may affect you.
  • To comply with our obligations under Canadian law, the CICC Code of Professional Conduct, and other professional rules.
  • To protect the security and integrity of this website.

We do not sell, rent, or trade your personal information to anyone, and we do not use it for advertising or marketing profiling.

4. When we share your information

We share your personal information only when it is necessary, and only with parties who have a legitimate need to receive it. These may include:

  • Canadian government bodies such as IRCC, the CBSA, the IRB, and Service Canada, where the sharing is needed to advance your application or to comply with the law.
  • Foreign authorities where required for a specific step in your file, for example, a visa office abroad.
  • Trusted service providers who help us run our practice, such as our email and website provider, secure document storage, translation services, and accounting. These providers are required to keep your information confidential and to use it only for the service they are providing to us.
  • Lawyers or other consultants where you ask us to refer you to them or where their involvement is needed for your file (for example, for a Federal Court matter).
  • The CICC or other regulatory bodies where required by law or by a regulatory process.

Some of our service providers (including our website host and our email provider) may store or process data outside of Canada, including in the United States. Where that is the case, your information may be subject to the laws of those countries. We choose providers that follow recognized security standards.

5. How we protect your information

We take reasonable steps to protect your personal information from loss, theft, and unauthorized access or disclosure. These steps include:

  • Encrypted connections (HTTPS) on this website.
  • Access controls, so that only the consultant assigned to your file can see your information.
  • Secure storage of digital documents and proper handling of any paper records.
  • Confidentiality obligations on every service provider we work with.

No method of transmission or storage is fully secure. We work to reduce risk, but we cannot guarantee absolute security.

6. How long we keep your information

We keep your personal information only as long as we need it for the purpose it was collected, or as long as we are required to keep it by law and by CICC professional standards. Active client files are kept while the matter is open and for the minimum period required after the file closes, currently no less than ten years for most file types, unless a longer period is required by law. Contact-form inquiries from people who do not become clients are kept for a reasonable period for follow-up and then deleted.

7. Your rights

Under Canadian privacy law (including PIPEDA), you have the right to:

  • Ask what personal information we hold about you.
  • Ask for a copy of that information.
  • Ask us to correct information that is wrong or out of date.
  • Withdraw your consent for us to use or share your information, subject to legal and regulatory requirements that may require us to keep it.
  • Make a complaint about how we handle your information, either to us or to the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.

To exercise any of these rights, email info@sitlanimmigrationconsulting.ca. We may need to verify your identity before we act on a request. We will respond within thirty days where possible.

8. Cookies and similar technologies

This website uses a small number of cookies and similar technologies. These are limited to:

  • Essential cookies set by our hosting provider (Cloudflare) to keep the site secure and working properly.
  • Bot protection through Cloudflare Turnstile on our contact form, which helps us tell humans from automated bots.

We do not use third-party advertising cookies, behavioural tracking, or social-media tracking pixels. We do not currently use Google Analytics or similar analytics tools.

9. Third-party links

This website may link to other sites, such as IRCC, CICC, or the IRB. Once you leave our site, this Privacy Policy no longer applies. Please review the privacy practices of each website you visit.

10. Children

This website is not intended for children under the age of sixteen. We do not knowingly collect personal information directly from children. Where a child's information is part of a family immigration file, that information is provided to us by the parent or legal guardian, who is responsible for the consent.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practice, our service providers, or the law. Material changes will be reflected by an updated "Last updated" date at the top of this page. We encourage you to review this page from time to time.
